TroopForge is operated by 13 Guys Named Ed, LLC, a Florida limited liability company (“13 Guys Named Ed,” “we,” “us,” or “our”). This Privacy Policy describes how we collect, use, disclose, and safeguard personal information when you access or use the TroopForge application, related websites, and services (collectively, the “Service”). By using the Service, you agree to the practices described here. If you do not agree, please discontinue use of the Service.

2. Information We Collect

The Service supports multi-tenant troop management. Account owners and authorized users control the data entered into their Accounts. We collect information in the following categories:

  • Account and Contact Information: Names, email addresses, phone numbers, troop affiliation, and role assignments for administrators, leaders, parents, and scouts.
  • Family and Member Records: Household groupings, relationships, emergency contacts, and other details entered by troop administrators to manage family structures.
  • Financial and Transaction Data: Internal balances, ledger entries, transfers, event payments, and subscription billing records maintained within the Service.
  • Usage and Technical Data: Log files, device identifiers, IP addresses, browser type, and activity within the Service collected via analytics and logging tools.
  • Support Communications: Information provided when users contact us for assistance, including attachments and correspondence.

TroopForge does not require scouts under 13 to create user accounts; any personal information about minors is provided and managed by authorized adults within each Account.

3. How We Use Information

We use personal information to:

  • Provide, secure, and maintain the Service, including authentication, user management, and multi-tenant data isolation.
  • Facilitate troop financial operations such as balance tracking, event payments, reporting, and audit logging.
  • Process subscription payments, send invoices, and manage account billing through our payment processing partners.
  • Respond to inquiries, provide technical support, and communicate administrative updates about the Service.
  • Monitor usage patterns, troubleshoot performance, and enhance platform features and user experience.
  • Comply with legal obligations, enforce our Terms of Service, and protect the rights, property, and safety of our users and company.

4. Legal Basis for Processing

Our collection and use of personal information is generally based on our legitimate interests in providing the Service, the performance of our contracts with Account owners, compliance with legal obligations, and user consent where required by applicable law. Account administrators are responsible for ensuring they have a lawful basis to submit personal information—particularly for minors and family members—into the Service.

5. How We Share Information

We do not sell personal information. We may share data as follows:

  • Service Providers: Vendors that deliver hosting, infrastructure, analytics, email delivery, customer support, and payment processing.
  • Within an Account: Account owners control role assignments and can grant access to troop data for other invited users.
  • Business Transfers: In the event of a merger, acquisition, or corporate reorganization, Account data may be transferred in accordance with this Policy.
  • Legal Compliance: When required by law, regulation, subpoena, or to protect rights, property, or safety.

TroopForge does not disclose Account data to other Account tenants. Each Account’s data is logically separated via account-based scoping and access controls.

6. Data Security

We employ administrative, technical, and physical safeguards—including account-level isolation, encryption of sensitive financial data, secure development practices, logging, and access controls—to protect the Service. Despite these measures, no system is entirely secure. Users are responsible for maintaining strong passwords, limiting account access, and promptly notifying us of suspected unauthorized activity.

7. Data Retention

We retain personal information for as long as an Account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, enforce agreements, and maintain business records. Account owners may export or delete certain records through the Service. When an Account is terminated, we will follow our data retention schedule and securely delete or anonymize data that is no longer required, subject to applicable law and lawful preservation requests.

8. Children’s Privacy

The Service is administered by adults on behalf of scout organizations. We do not knowingly collect personal information directly from children under 13, and scouts under 13 are not permitted to create user accounts. Account administrators must obtain appropriate parental or guardian consent before entering information about minors and are responsible for compliance with the Children’s Online Privacy Protection Act (COPPA) and other youth protection regulations.

9. International Data Transfers

The Service is hosted in the United States. If you access the Service from outside the United States, you understand that your information may be transferred to, stored in, and processed in the United States, where data protection laws may differ from those in your jurisdiction.

10. Your Choices and Rights

Account owners and authorized users may view and update member records, family groupings, and financial data within the Service. You may request access, correction, or deletion of personal information by contacting your Account administrator or reaching out to us at the address below. Depending on your jurisdiction, you may have additional rights under privacy laws; we will honor such rights in accordance with applicable regulations.

You may opt out of non-essential marketing communications by following the unsubscribe instructions in those messages. We will continue to send administrative or service-related communications as necessary to operate the Service.

11. Third-Party Services and Links

The Service may include links to external websites or integrate with third-party tools (such as payment processors or communication services). This Privacy Policy does not apply to those third parties. We encourage users to review the privacy practices of each third-party service they engage through TroopForge.

12. Changes to This Policy

We may modify this Privacy Policy to reflect updates to our practices, technology, or legal requirements. If we make material changes, we will provide notice through the Service, by email, or by other reasonable means. The revised policy takes effect on the date posted. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
